Hethersett and Meltons' Sports Association - Minutes of Meeting Held at Hethersett Social Club on Monday 9th May, 2011
Attendees: Shane Hull, Oliver Armstrong, Paul Suggitt, Nigel Bailey, Colin McDermott, Jimmy Dakin, Steve Walker, Gary Wyatt, Ron Butcher, Peter Hoult, Mel Perkins MBE, Tony Dunton, Peter Steward and Jo Adcock.
Peter Steward welcomed everyone to the meeting, and everyone introduced themselves.

Draft Constitution
The draft constitution was discussed in great detail, and Nigel Bailey explained his role working as a Neighbourhood Officer at South Norfolk Council, and having experience of constitutions. He was concerned at the wording on the Dissolution paragraph and willl email Peter Steward with the correct wording.
Peter Steward will amend the constitution and e-mail it to all members.
The constitution for the Hethersett and Meltons Sports Association was Proposed by Steve Walker, and seconded by Garry Wyatt, providing the changes are made.
Nigel Bailey also gave ideas about accessing funding for projects and said he would help with this.
Ron Butcher asked if any club wanting to apply for funding should run it past the association. The answer was no, but it was a good idea for all sports clubs to support each other when applying for grant monies.
Election of Officers
It was decided that there would be three officers elected for the roles of Chairperson, Treasurer and Secretary.
Gary Wyatt proposed Peter Steward for the role of Chairperson, and Ron Butcher seconded this.
Mel Perkins Proposed Shane Hull for the role of Treasurer, and Tony Dunton seconded this.
Steve Walker proposed Joanne Adcock for the role of Secretary, and Peter Steward seconded this.
Publicity, Membership and Promotional Leaflets
Peter Hoult asked about publicity. Information on HaMSA is on the Hethersett Website. There is a need to contact all clubs in the village. it was suggested that all sports organisations should produce a leaflet which will be put together in a pack to offer to the residents of the village. It is hoped that this will be ready for the Olympic weekend to be handed out as this is an ideal opportunity for HaMSA to be represented. Copies could also be put through doors.
Members of HaMSA should pay to become members and this will be a nominal charge to cover admin costs.
Local businesses could advertise for a small fee to cover the cost of producing the leaflets, these packs could be available in Schools, library or shops in and around the village.

Discussion on facilities
The offer from the Crusaders Rugby Club will be discussed at the next meeting.
Steve Walker said that the Social club is available for hire.
The Memorial Field is a very large piece of land which can be used, and with the Parish Council representatives on the association the village could benefit
Entry into South Norfolk Games
The village has entered into the Village Games, with the following sports:-
Archery people are needed for this, we are hopeful people will sign up at the come and try evening.
Badminton 2 mixed juniors 14-17 years (Peter Hoult)
Rounders a team is needed for this, again we are hopeful at the come and try evening
Short Mat Bowls 6 people are needed (Ron Butcher & Tony Dunton)
5 a side football Hethersett Athletic
Tennis Hopeful at the come and try evening (Fiona Whiting)
Darts 4 single entries are needed, hopefully members of the social Club will sign up for this
Watt Bikes Paul Suggett & Ollie Armstrong
Table Tennis Senior James Rice, juniors aged 11-15 are needed
Netball Hopeful at the come and try evening, also could ask the high school.
1 mile race Ollie Armstrong
4x100m Relay Ollie & Paul plus 2 more are needed
Come and try evening
At the come and try evening on Monday 23rd May, there will be a variety of sports available for the people of Hethersett to come and have a go, and then if they want to they can sign up for the village games to be held on Sunday 12th June at Framingham Earl High School.
Olympic Weekend
SH reported that plans are in force for seven events over the weekend of 22-24th July, all that is needed now is the weather. Flyers will be delivered to all Hethersett residents telling them what and where the events are happening.

For the Come and try evening the Social Club will be open for non members to get refreshments.
Date of next meeting
The next meeting will be on Monday 5th September at the Social Club in Hethersett, at 7.30pm.
