Minutes of meeting of Hethersett and Meltons’ Sports Association (HAMSA) at Park Farm Hotel, Hethersett, April 25th, 2017

Round Table Introductions
There were 9 present - Peter Steward (PS), Shane Hull (SH), David Bills (DB), Mel Perkins (MP), Jackie Sutton (JS), Maurice Durrant (MD), Darren Neal (DN), Rachel Pailes (RP) and Peter Hoult (PH)

These had been circulated and were taken as read.
Matters Arising
None
Treasurer’s Report
SH provided an update on finances with a current balance at Lloyds Bank of £924.35. Six clubs paid outstanding fees on the eveningo giving a running total of just over £950 available for grant awards.
Run the Square 2017
SH reported that the eighth run the square funrun will take place on July 16th and plans are well advanced with road closures agreed with the Highways Department. Temporary road closures will take place along the route from 10.45 to 11.45 a.m. The guest starter will be Principal of Hethersett Academy Gareth Stevens. This means that each of the four heads/principals have acted as honorary starters. SH has obtained a number of grants for the event which include a Tesco's Groundworks grant of £1,000 and a similar amount from Persimmon Homes. He is also looking at more sponsorship to cover the cost of insurance for the event.
Norfolk Police will be attending and St John Ambulance will be available to treat any injuries. Race stewards will be provided by Crusaders Rugby Club and a donation will be made to them. The race arch and digital clock will both be utilised. SH pointed out that both were available for hire by groups affiliated to HAMSA.
Entry forms will be available a month prior to the event via Hethersett Library and the Hethersett Village web site and the library will have its usual collection box for entries.
RP offered the support of Rowan House and underlined her enthusiasm for "getting involved" in the event. She suggested involving local businesses and will liaise with SH on this. DN suggested all runners be given a raffle ticket on finishing the event with winning tickets being drawn at Rowan House after the event. Rowan House and Fitness Express at Park Farm will supply prizes.
PS agreed to set-up a dedicated Facebook page for Run the Square. It was also suggested that an ice cream van might be invited along and other refreshments made available at the end of the run.
Memorial Pavilion
A working group has been set-up under the auspices of the Memorial Playing Field Trustees and Hethersett Parish Council. This is due to meet at the end of April with the possibility of employing a professional person to apply for grants on behalf of the trustees. HaMSA/Trustees will also formulate an application for funding from the S106 money when this becomes available. Grants from S106 funding will be at the behest of Hethersett Parish Council which will be setting out a criteria for awards.
Applications for Grants
PS applied for a grant of £30 to cover the coming Social Running course which will be held on six Thursday evenings leading up to the village funrun. Once again Norfolk Olympian Paul Evans will be giving his services free of charge. The £30 will cover the hiring of the Memorial Field for the six one hour sessions to ensure all those taking part are covered by public liability insurance. There was a unanimous vote for HaMSA to cover the cost of the sessions after a proposal from PS which was seconded by MD.
Sports Clubs/Groups Updates and Coming Events
Hethersett Olympic Legacy Sports Complex (HOLSC)
SH reported on the latest position regarding HOLSC. He has written to Dame Rachel De Souza, CEO of the Inspiration Trust, with regard to an all weather sports facility at Hethersett Academy and is awaiting a reply. He will keep HaMSA members informed re any progress.
Hethersett Croquet Club
PH reported that the new season has started with sessions on Saturday afternoons and Wednesday evenings. A new storage hut and shelter are in place on Hethersett Memorial Playing Field.
Hethersett Netball Club
HL was not present but sent in the following report via e-mail: "The juniors have moved to a Friday evening training at Hethersett Academy. Last Friday was our first session but so far the community access to the facility for us seems good. Adults are well into the summer league and, after a little recruiting, have two strong teams.
Hethersett Badminton Club
PH reported on the continued success of the club with 58 youngsters being trained by six regular coaches. The club has 35 registered adults. Fees have had to be raised due to the new charges put into place at Hethersett Academy. The club is re-applying for clubmark status and has appointed a welfare officer.
Hethersett Running Group
The running group will recommence on June 8th for a regular six week Thursday evening course from 7 to 8 pm on Hethersett Memorial Playing Field. This will be led by Paul Evans and will lead up to the two mile village funrun.
Hethersett Memorial Playing Field Bowls Club
The new season is underway.
Hethersett Hawks Cycle Speedway Club
MP reported on the start of the 2017 season which opened with two league victories before defeat at Hellingly near Eastbourne. Club nights are almost at saturation point with a number of youngsters showing an interest and enthusiasm for the sport. The club has received £1,000 from the Aviva Community Grant and will be using this to purchase bikes and equipment for the youngest club members. The club is working towards clubmark accreditation and members are attending safeguarding courses. The club is also looking to write social media policies.
Hethersett Memorial Playing Field Trust
The group will be losing two trustees in May with the retirements of Peter Hoult and Dr Anne Edwards. This will bring their numbers down to three. JS underlined the urgent need to find replacement volunteers. MP thanked PH for all the work he has done over a number of years and stressed that in future the trustees might have to pay for repair work on the field. Development money has been spent to improve the state of the field. It is hoped to apply herbicide in the near future with the cost being split between the Trustees and Hethersett Athletic Football Club. PH mentioned an application to serve refreshments on the park from a horse box and this was an idea generally supported by HaMSA members.
Active Norfolk
HL sent comments via e-mail as follows: "Nothing much to report. Communication seems to have dried up. There is no sign of the stand alone tournaments unfortunately apart from the netball under 'this girl can' umbrella.
Hethersett Dementia Group
DB reported that May will see the second anniversary of the setting up of the group. It is hoped to mark this with a speaker at the May Dementia Cafe to be held in Hethersett Methodist Church on the third Tuesday of the month.
Hethersett Jubilee Youth Club
JS reported that the club's fete and dog show will take place on June 17th. The club needs more trustees and volunteers. There is now a good attendance for Wednesday club nights.
Park Farm Fitness Express
DN once again offered space on the club’s noticeboard and support for the aims of HaMSA. HaMSA members also receive 15% reduction on membership fees.
Community Facilities at Hethersett Academy
DB updated members on the new community access for facilities outside of school hours. Hirings are moving upwards at a steady rate and it is hoped to have a link with Wymondham Leisure Centre.
Hethersett Athletic Football Club
MP stated that the club is going through a period of transition. He will be giving up as club secretary at the end of the current season and PS will be relinquishing his roles with the club at the end of next season. Both will continue to act as consultants for the club. He believes that the club is in good hands and continues to be very successful, giving competitive football to all ages. Overall it has been a successful season.
Hethersett and Tas Valley Cricket Club
PS reported that the season has opened with two friendlies and with league fixtures due to start at the end of April. The club has a solid and effective youth system and some very talented cricketers coming through. It has lost a number of key players but also gained some quality players.
Crusaders Rugby Club
MD reported that the club has received RFU accreditation. The first team finished third in their league - a very satisfactory achievement after losing a number of players at the start of the season. Leagues are being re-organised for next season which should help to cut down on the amount of travelling, although Crusaders will still have to go as far as Colchester. The club has plans for a five phase development over the next three years aimed at improving facilities. Grants are being applied for.
Hethersett Methodist Table Tennis Club
PH said the club has picked up a few new members and is doing well.
Rowan House
RP reported on busy and successful times for the health and welfare centre, but problems with parking, particularly at school times. She is liaising with Hethersett Social Club to try and resolve this.
New Clubs
Nothing was forthcoming in the area of new clubs, although a new tennis club continues to be a possibility now that Hethersett Academy is hiring out its courts. Somebody is needed tp set-up and run a club. There is also a court available free of charge to the public at the back of Hethersett Village Hall
Proposed Fireworks Event
Crusaders will be holding another fireworks event in November 2017 and would be happy to work with any other sports club interested in holding stalls and/or helping to run an event. Any club interested in becoming involved should contact MD.
South Norfolk Council
DB and LD both have £1,000 available for small grants. The community action fund is also available for applications and has £50,000 available for the whole district. DB had attended the Norwich Indoor Ski Slope for a competition under the Special Olympics banner. The organisers have shown an interest in using the cycle speedway track on the Memorial Field for an event and DB will ask them to contact MP.
Any Other Business
JS said that the parish council has a number of small grants available that could be applied for by sports clubs and the community as a whole.
JS brought up the concerns of a parishioner with regard to the amount of litter near the Crusaders Rugby Ground. Members said that they hadn't noticed a particular problem in the area.
